We collect the following information when you use TrueForm AI: (a) Account information: your name and email address when you register; (b) Document content: images and PDF files you upload for processing, which are transmitted to third-party AI providers and then stored in your account; (c) Usage data: the number and type of documents you process, your subscription plan, and upload timestamps for billing and service purposes; (d) Technical information: your IP address, browser type, and session data collected automatically to operate and secure the Service.
2. How We Use Your Information
We use your information to: (a) provide, maintain, and improve the Service; (b) process your documents through our AI pipeline; (c) manage your account and subscription; (d) send transactional communications including account verification and payment confirmations; (e) respond to support requests; (f) detect and prevent fraud and abuse; (g) comply with legal obligations. We do not use your document content to train AI models. We do not sell your personal information to any third party.
3. Data Processing Partners
Your uploaded documents are processed by third-party AI service providers specializing in document recognition and natural language processing. These providers process your content transiently for the purpose of returning results to TrueForm AI and do not retain your documents beyond what is required to complete each request. By using the Service, you consent to this processing.
4. Data Storage and Security
Your account data and documents are stored in a cloud database service. All data transmitted to and from TrueForm AI is encrypted in transit using TLS. Data stored on our servers is encrypted at rest using AES-256 encryption. We also implement industry-standard administrative, technical, and organizational safeguards to protect your data against unauthorized access, alteration, disclosure, or destruction. We implement row-level security controls that ensure users can only access their own data. In the event of a security incident affecting your personal information, we will notify affected users promptly in accordance with applicable law.
5. Your Rights
Depending on your location, you may have rights regarding your personal data including: (a) the right to access personal data we hold about you; (b) the right to correct inaccurate information; (c) the right to delete your account and all associated data through Account Settings; (d) the right to export your documents at any time using the export feature; (e) the right to opt out of promotional communications. 6. Cookies
We use essential cookies solely to maintain your login session. We do not use third-party advertising cookies or tracking pixels. Disabling essential cookies through your browser settings will prevent you from logging in to the Service.
7. Data Retention
We retain your account information and documents for as long as your account is active. If you delete your account, your documents and personal data will be deleted within a reasonable period. Upload logs are retained for billing and dispute resolution purposes. We may retain certain information longer if required by applicable law.
8. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, contact us at support@trueformai.xyz and we will delete it promptly.
9. International Data Transfers
TrueForm OPC is incorporated in the Republic of the Philippines. Your data may be processed in other countries where our service providers operate, including the United States. We take appropriate steps to ensure your data receives adequate protection in accordance with applicable data protection laws, including the Philippines Data Privacy Act of 2012 (Republic Act 10173). Users in the European Economic Area acknowledge that data transfers outside the EEA are made on the basis of operational necessity in providing the Service.
